This Refund & Billing Policy (the “Policy”) describes how Host4Geeks LLC (“Host4Geeks,” “we,” “us,” or “our”) bills for its Services and the circumstances under which refunds may be issued. This Policy forms part of, and is incorporated by reference into, our Terms of Service. Capitalized terms used but not defined here have the meanings given to them in the Terms of Service.

By purchasing any Service from Host4Geeks, you acknowledge and accept the terms set out below. If you do not agree, please do not place an Order.

1. Currency and Taxes

All prices, invoices, and refunds are denominated in United States Dollars (USD). All fees are exclusive of any applicable taxes, including but not limited to sales tax, value-added tax (VAT), goods and services tax (GST), withholding tax, or any other levies imposed by competent taxing authorities. Where Host4Geeks is required by law to collect such taxes, they will be added to your invoice and become your responsibility.

You are responsible for providing valid tax exemption documentation if you believe you qualify for an exemption. Refunds, where issued, exclude any taxes that have already been remitted to a taxing authority unless the relevant authority permits us to recover them.

2. Billing Cycles and Auto-Renewal

Host4Geeks offers the following Billing Cycles, subject to the Service and plan you select:

  • Monthly
  • Annual
  • Biennial — two years
  • Triennial — three years

Discounts displayed at checkout are calculated against the standard monthly rate and are firm — they do not vary by plan, promotional event, or coupon stacking unless we explicitly state otherwise. The discount applies for the duration of the prepaid term and does not extend to renewals at different cycle lengths.

Auto-Renewal: All Services renew automatically at the end of each Billing Cycle for a successive term of equal length at the then-current renewal rate. Renewal invoices are generated and emailed fourteen (14) days before the renewal date. Your payment method on file will be automatically charged on or shortly after the invoice due date. To prevent renewal, you must cancel the Service before the renewal invoice is generated (see Section 7).

3. Accepted Payment Methods

Host4Geeks accepts the following payment methods. Availability of specific methods may vary by region, Service, and applicable risk and compliance checks:

By providing a payment method, you authorize Host4Geeks and its processors to charge that method for all amounts due, including initial fees, taxes, recurring renewals, upgrades, add-ons, and overages, until you remove the method or cancel the Service.

4. Late Payments, Suspension, and Termination

Invoices are due on the date stated on the invoice. If payment is not received by that date, the following timeline applies automatically:

You agree to reimburse Host4Geeks for all reasonable costs of collection of overdue amounts, including chargeback fees, legal fees, and collection agency fees, to the extent permitted by law. Repeated late payments may result in restrictions on accepted payment methods for your Account (for example, requiring prepayment or excluding certain processors).

5. 7-Day Money-Back Guarantee

Host4Geeks offers a seven (7) day money-back guarantee for first-time purchases of eligible Services. To qualify, all of the following conditions must be met:

  • The refund request is submitted in writing to [email protected] or through a billing ticket in the client portal within seven (7) calendar days of the original purchase date of the Service.
  • The Account is in good standing, with no outstanding violations of the Terms of Service or Acceptable Use Policy.
  • This is the first purchase of the Service by you. Repeat purchases of the same or substantially similar Service are not eligible.
  • The Service has not been subject to abuse complaints, network violations, or law-enforcement requests.

Where these conditions are met, Host4Geeks will issue a full refund of the eligible amount paid, less any non-refundable fees described in Section 6.

5.1 Eligible Services

The 7-day money-back guarantee applies to:

  • Shared Hosting
  • Semi-Dedicated Hosting
  • Reseller Hosting (Premium and Budget)
  • Managed VPS
  • Unmanaged VPS
  • Managed WordPress Hosting
  • Application Hosting (including Odoo Hosting)

5.2 Ineligible Services

The 7-day money-back guarantee does NOT apply to:

  • Dedicated Servers (managed or unmanaged) — these are provisioned with customer-specific hardware and are non-refundable once deployed.
  • Custom configurations, custom server builds, or any Service requiring a setup fee beyond standard provisioning.
  • Add-on services, including additional IPs, dedicated IPs, additional storage, additional bandwidth, and migration services.
  • Domain registrations, transfers, and renewals.
  • Third-party software licenses (see Section 6).
  • SSL certificates (paid certificates issued by certificate authorities).
  • Renewals of any Service — the guarantee applies only to the initial term.
  • Services that have been previously refunded for the same Account, even if the previous Service was a different product.

6. Non-Refundable Items

The following items are non-refundable under any circumstances once provisioned, activated, or initiated, even within the 7-day window:

  • Domain Names — Registration, transfer, and renewal of any domain. Once a domain is registered or transferred, the registration fee is paid to the registry and is non-recoverable.
  • Software Licenses — Including but not limited to cPanel, Plesk, DirectAdmin, LiteSpeed Web Server, CloudLinux, JetBackup, Imunify360, Softaculous, Acronis Cyber Protect, Microsoft Windows Server, Microsoft SQL Server, and similar.
  • SSL Certificates — Paid certificates issued by third-party certificate authorities.
  • Setup Fees — Any one-time setup, provisioning, configuration, or onboarding fees.
  • Migration Services — Performed website, application, or server migrations.
  • Add-On Services — Including additional IPs, dedicated IPs, snapshot/backup add-ons, and any other supplementary services bundled or added to a primary Service.

7. Cancellation

You may cancel any subscription at any time through the client portal at backyard.host4geeks.com by navigating to the Service and submitting a cancellation request.

7.1 Cancellation Types

Two cancellation types are available:

  • Immediate Cancellation — The Service is terminated immediately upon submission. Hosting data is deleted as described in our Privacy Policy. Refund eligibility is governed by Section 5.
  • End-of-Billing-Period Cancellation — The Service remains active until the end of the current paid term and then terminates without renewal. This is the default option.

7.2 Cancellation Deadlines

To prevent the next renewal invoice and automatic charge, your cancellation must be submitted before the renewal invoice is generated (fourteen days before the renewal date). Once a renewal invoice is generated, it is payable in accordance with these terms, even if you cancel before the renewal date.

Cancellation does not by itself entitle you to a refund. Refund eligibility is determined exclusively by Section 5.

8. Refund Method and Timing

Where a refund is approved:

  • Refunds are issued only to the original payment source used for the purchase. We do not issue refunds to alternative payment methods or accounts.
  • Credit card and PayPal refunds typically appear in the cardholder’s account within five to ten (5–10) business days of approval, depending on the issuing bank or wallet provider.
  • Cryptocurrency payments are not refunded in cryptocurrency due to volatility and transaction characteristics of blockchain networks. Approved refunds for crypto-paid Services will be issued as account credit at the originally paid USD value, redeemable for future Services.
  • Bank wire and other non-standard methods, where accepted on a case-by-case basis, will be refunded by the same channel net of any bank or transfer fees.

9. Chargebacks and Disputes

If you have a billing concern, please contact us at [email protected] first. Most issues can be resolved quickly without involving your bank or payment provider.

Filing a chargeback or payment dispute without first attempting to resolve the matter with us is a violation of this Policy and may result in:

  • Immediate suspension or termination of all your Services, without refund.
  • Permanent ineligibility for future Services from Host4Geeks.
  • A chargeback fee of USD 50 per disputed transaction to cover processor and administrative costs, where permitted.
  • Collection action for any outstanding balance, including referral to a collection agency.

Successful chargebacks for amounts already refunded by us, or for amounts otherwise lawfully owed, will be referred for collection.

10. Upgrades, Downgrades, and Pro-Rata Charges

You may upgrade your Service at any time. Upgrade charges are pro-rated based on the time remaining in your current Billing Cycle and the difference between the new and existing plan price.

Downgrades take effect at the next renewal. No refunds or credits are issued for downgrades or for unused resources within an existing paid term. We do not provide pro-rata refunds for downgrades.

11. Promotional Pricing and Coupons

From time to time, Host4Geeks offers promotional pricing, introductory rates, or coupon codes. Unless explicitly stated, promotional pricing applies only to the first term and Services renew at the then-current standard renewal rate. Coupons may not be combined with other offers, are non-transferable, and have no cash value. We reserve the right to refuse, cancel, or reverse any promotion that we determine has been abused, used in bad faith, or applied in violation of its stated terms.

12. Free Trials

If we offer a free trial for any Service, the terms of that trial — including duration, eligibility, and conversion to a paid plan — will be disclosed at signup. Where a trial converts automatically to a paid subscription, you authorize us to charge the payment method on file unless you cancel before the conversion date. Free trials may be limited to one per customer or household; abuse may result in the cancellation of the trial without notice.

13. Changes to This Policy

Host4Geeks may update this Policy from time to time. The “Last Updated” date at the top of this document reflects the most recent revision. Material changes will be notified by email or through the client portal at least thirty (30) days before they take effect. Your continued use of the Services after the effective date constitutes your acceptance of the updated Policy.

Our Website and/or Services are not directed at children and our services are designed for businesses. We do not knowingly collect information from or about children under 13 years of age, and the use of our services by children under 13 years of age is forbidden.

Changes to Privacy Policy

Host4Geeks reserves the right to modify this Privacy Policy at any time, however, should we change the Privacy Policy in a material way, a notice will be posted on our website along with the updated Privacy Policy. If you disagree with the changes, you may terminate your Services.
